otolog (the "App") is an Android app provided by 25lab LLC (the "Operator").
This page explains what information the App handles and how.
Our approach
Audio, transcripts and location recorded by the App are stored only on your device.
The Operator has no servers and cannot receive or see this information.
This information leaves your device only in the following cases, and only when you take the action yourself or turn the feature on in Settings:
- When you tap a share button (such as "Reflect with AI") and pass transcripts or audio to another app
- When you start "View on PC" and read your diary in a browser on a computer connected to the same Wi-Fi
- When you turn on backups, export to a folder, or export to Notion in Settings (see each section below)
Information the App handles
| Information | When it is obtained | Purpose | Where it is stored |
|---|---|---|---|
| Audio from the microphone | From when you start listening until you stop | Detecting voices, recording conversations and turning them into text | On your device (the App's private storage) |
| Transcripts | When a recorded conversation is turned into text on your device | Showing it as a diary, searching and sharing | On your device (the App's private storage) |
| Location (latitude, longitude, accuracy) | When a conversation starts, if you allowed location | Showing where the conversation was recorded | On your device (the App's private storage) |
| Voice characteristics | When you register your voice, and when recorded conversations are transcribed | Telling whether each line is your voice or someone else's | On your device (the App's private storage) |
| Settings | When you change a setting | Applying it to how the App works | On your device (the App's private storage) |
| Usage statistics (which screens were opened, which features were used) | When you use the App (can be turned off in Settings) | Improving the App | Google's servers (Google Analytics for Firebase) |
| Crash records (where the App stopped, device model and OS version) | When the App crashes or freezes (can be turned off in Settings) | Fixing bugs | Google's servers (Firebase Crashlytics) |
Audio
- While listening, the microphone stays in use so the App can notice voices, even when nothing is being saved. When no one is speaking, only a few seconds of audio are kept in memory and then discarded without being saved
- While listening, a notification and the microphone indicator at the top of the screen are always shown. There is no way to hide listening
- Listening starts only when you start it from the screen or the notification. It never starts automatically, for example after the device restarts
- The voices of people around you are recorded too. Please let them know, and pause in places where recording is not allowed
Voice characteristics
- Voice characteristics are numbers that describe how a voice sounds, and are used only to tell speakers apart
- Registering your voice is optional. You can use the App without it
- You can delete your registration at any time from "Register your voice" in Settings. "Delete all data" also removes it
- Voice characteristics never leave your device. Sharing and "View on PC" only pass the labels "Me" and "Other"
Location
- Location permission is optional. You can use the App without it
- Location is obtained only when a conversation starts while listening. It is not obtained while listening is stopped
- Coordinates are turned into place names on your device, using address data bundled with the App. Coordinates are never sent to an outside service
What is sent outside the device
- The App never sends audio, transcripts, search words, location or voice characteristics to the Operator's servers. The only third-party server it sends any of them to is Notion, when you set up export to Notion yourself (transcripts only)
- Transcription and search run on your device. No outside service is used
- The App contains no third-party code for ads
- The App uses its internet permission only for listening on your local Wi-Fi for "View on PC", and for the "Usage statistics", "Crash reports" and "Announcements" described below
Usage statistics
- To improve the App, usage statistics are sent using Google Analytics for Firebase by Google LLC
- What is sent: the type of screen opened, that a feature was used (starting and stopping listening, search, sharing, voice registration, starting "View on PC", and so on), counts and lengths rounded into broad ranges, device information such as model, OS version, language and country, and an identifier assigned per app installation
- Audio, transcripts, search words, shared content and where it was shared, and location are never sent
- The advertising ID is not collected
- Nothing is sent until you finish the first-run introduction. If you turn off "Send usage statistics" in Settings, nothing is sent from then on
- In the European Economic Area (EEA), the United Kingdom and Switzerland, statistics are sent only if you choose to consent in the first-run introduction (off by default). The region is determined from the country of your SIM, your mobile network and your device's region setting; location is not used. You can withdraw consent in Settings at any time
- Use of data for advertising (ad storage, sending user data for ads, ad personalization) is denied in every region
- For how Google handles information, see Google's Privacy Policy (https://policies.google.com/privacy)
Crash reports
- To fix bugs, records of crashes and freezes are sent using Firebase Crashlytics by Google LLC
- What is sent: where in the App it stopped (stack trace), App version, device model, OS version and state such as free memory, and an identifier assigned per app installation
- Audio, transcripts, search words and location are never sent
- Nothing is sent until you finish the first-run introduction. If you turn off "Report crashes" in Settings, nothing is sent from then on, and records not yet sent are deleted from the device
- In the EEA, the United Kingdom and Switzerland, records are sent only if you choose to consent in the first-run introduction (off by default)
- For how Google handles information, see Google's Privacy Policy (https://policies.google.com/privacy)
Export to a folder
- Only if you turn on "Export every day" and choose a folder in Settings, transcripts (and audio, if you choose) are written as files to that folder
- The folder is on your device; the App does not send anything over the network. Exported files are outside the App and can be read by other apps
- If that folder is synced by another app or service, the files are also sent to that destination, under that service's terms
- Deleting a conversation in the App does not delete exported files
Export to Notion
- Only if you enter your own Notion integration token and destination page in Settings and turn on "Export to Notion daily", transcripts are sent to the servers of Notion (Notion Labs, Inc.)
- What is sent: the date, conversation times, place names and transcripts. Audio is not sent. Nothing passes through the Operator's servers
- The token is stored only on your device and is excluded from backups
- Content exported to Notion is handled under Notion's privacy policy. Deleting a conversation in the App does not delete the Notion pages
Paid plan
- The paid plan (otolog Premium, monthly or yearly) is purchased and cancelled through Google Play. Payment information is handled by Google; the Operator does not receive it
- The App checks on your device, through Google Play, whether you are subscribed
Downloading transcription data
- On supported devices, the App uses the device's built-in speech recognition (Google ML Kit and Android AICore). Audio is transcribed on the device and is not sent anywhere. The speech recognition model is downloaded to the device from Google by Android AICore
- On other devices, the data used for transcription (the speech recognition model for the language you choose) is downloaded through the Google Play Store after installation
- The App only downloads it and sends nothing. The download is handled by Google Play, under Google's Privacy Policy
Announcements (push notifications)
- To tell you about outages and important changes, the App uses Firebase Cloud Messaging by Google LLC
- To receive announcements, an identifier assigned per app installation (registration token) is registered with Google's servers. The Operator does not store this identifier
- Audio, transcripts and location are never sent
- If you turn off the "App announcements" notification category in your device settings, announcements are not shown
Sharing
When you tap a share button (such as "Reflect with AI"), the transcripts for the chosen period, or audio files if you choose, are passed to the app you choose.
If you have set an "app you always use" and "Pass right away without confirming", tapping the button passes them directly to that app.
After that, the information is handled under the terms of the receiving app and service.
Insights images
The "Insights" figures (characters spoken, the share of positive and complaining words, frequent words, and the chart of how much you talked) are all calculated on your device.
When you tap "Share on social media", an image summarizing them is passed to the app you choose.
The image contains numbers and words that often came up in your conversations. You can remove words you don't want to show by adding them to the "hall of fame".
People's names are included only if you choose "Include people's names". Places are never included.
In some languages names cannot be told apart from other words, so names may appear.
View on PC
- When you start it, devices on the same Wi-Fi can view audio and transcripts in a browser after entering the PIN shown on screen
- The App listens only while the "View on PC" screen is open. It stops when you leave the screen, Wi-Fi disconnects, there is no access for 15 minutes, or the PIN is entered wrongly 5 times
- The connection is not encrypted. Other devices on the same Wi-Fi may be able to see the content. Use it only on trusted Wi-Fi such as at home, never on public Wi-Fi
Contacting us
- You can send us a message from the App's settings and insights screens. Only when you tap "Send", the App sends your email address, the type of inquiry, and your message, together with the app version, your device model and Android version, and your language setting. Conversations and transcripts are never sent
- What you send is stored with Cloudflare, Inc., a service the Operator uses, and forwarded to the Operator's email. We use it only to respond to you and to investigate problems
- To prevent abuse, we keep a one-way hash of the sender's IP address for one hour. We do not store the IP address itself
- The email address you enter is also saved on your device so that it is filled in next time
- To ask us to delete your inquiry, contact us at the address below
Backups
Audio and transcripts are excluded from Android's automatic backup and device-to-device transfer.
They are therefore never stored in Google Drive or elsewhere unless you create a backup yourself.
Only when you create a backup under "Backup" in Settings, your diary (transcripts, conversation times and places, voice characteristics, and audio if you choose) is put into one file and saved to the location you choose (Google Drive, your device, and so on).
If you turn on "Back up automatically every week", the same file is rewritten with new content while charging.
- The App only writes the file to the chosen location and does not communicate over the network. If you choose Google Drive, the Google Drive app uploads the file, under Google's terms
- The file is not encrypted. Save it where others cannot see it
- If you change devices or uninstall the App without a backup, audio and transcripts are lost
Retention and deletion
- If you set a retention period (none by default), audio of conversations older than it is deleted automatically. Depending on your settings, transcripts can be deleted too
- "Delete all data" in Settings deletes all conversations, audio and transcripts at any time
- Uninstalling the App deletes all information stored on your device
Permissions
| Permission | Purpose |
|---|---|
| Microphone | Listening to and recording conversations |
| Location (optional) | Saving where conversations were recorded |
| Notifications | Showing that listening is on, and letting you know when listening stops |
| Foreground service | Continuing to listen while the screen is off |
| Run at startup | Letting you know after a restart that listening has stopped (listening does not start) |
| Network | Listening on your local Wi-Fi for "View on PC", and sending usage statistics |
For users in the European Economic Area (EEA), the United Kingdom and Switzerland
- The controller of personal data is the Operator listed under "Contact" below
- Usage statistics and crash reports are sent on the basis of your consent. You can withdraw consent at any time by turning off "Send usage statistics" and "Report crashes" in Settings
- The registration token for announcements is handled on the basis of the Operator's legitimate interest in informing you about outages and important changes
- Audio, transcripts, location and voice characteristics never reach the Operator, so the Operator cannot disclose, correct or delete them. You can delete them in the App at any time
- Information sent to Google Analytics for Firebase and Firebase Crashlytics is linked only to an identifier assigned per app installation, and the Operator cannot tell whom it belongs to. The Operator therefore cannot disclose or delete it for an individual. Turning off sending in Settings stops it from then on. Sent information is deleted after Google's retention period (2 months for Analytics, 90 days for Crashlytics). For questions, contact us at the address below. You may also lodge a complaint with the data protection authority in your country
- Usage statistics are processed on servers of Google LLC (United States). Google transfers data under mechanisms such as the EU Standard Contractual Clauses
Children
The App is intended for people aged 18 and over.
